Job Description

1.Customer Service & Credit Management

  • Conducts manual override for credit-worthy orders.
  • Entertains and provides feedback to customers/principals’ inquiry regarding account status.
  • To study, analyze and recommend and implement ways and means to:
  • Build up company image and maintain good relationship with customers
  • Recommend appropriate credit line and credit terms of customers
  • Review and ensure correctness of information in the Customer Application Form
  • Oversee operation of Customer Service with the objective of delivering effective and efficient customer service to ZP customers.
  • Conducts customer survey
  • Working towards a “value-added service center to customers as well as Principals.
  • Create ideas and ways for the Team’s further development. 

 
2. Warehousing  

  • Supervise key activities of warehouse supervisor and manager (PP2).
  • Conducts regular meetings with warehouse supervisor and manager related to warehouse operation.
  • Prepares communications to principals in relation to various warehouse concerns and operations.
  • Regularly evaluates and reviews warehousing system and procedures.
  • In direct coordination with Logistic Manager, shall be responsible in implementing and maintaining GSPD Standards related to Warehouse and Traffic operation. 

 
3. Inventory

  • Coordinates and monitors deliveries from principals.
  • Accountable for ensuring the availability of accurate, actual and on-line information on stock inventory location PP2 warehouse
  • Interacts with representatives of principals on matter concerning inventory and regulatory affairs and with customers as needed. 

4. Information Technology

  • Reviews, maintains and updates on-line database of product, warehouse, principal and customers’ information as well as bonus and price contracts.
  • Ensures the smooth implementation of all system-based programs in coordination with Operation Supervisor to IT-Vietnam.
  • Trouble-shoot system problem such as Transaction Busy Flag (order, invoice, credit, transfers, etc.), system disconnection, etc.  

5. Human Resources 

  • Being responsible for enforcement of Policies and Standard Operating Procedures in order to ensure a transparent and structured communication with the Management.
  • To assist HR Administrator in the selection, hiring and training of new employees in Operation section.
  • To appraise performance of Logistic Manager, Warehouse Supervisor, Operation Supervisor & Customer Service Supervisor.
  • Assist in the training and developing competencies of all Operations staff.

6. Other Responsibilities

  • Attend trainings and meetings as may be required by the company
  • Review and update SOPs and communicates the same to all staff and business partners if necessary.  
  • Performs other duties that may be assigned by the immediate superior from time to time.
  • Adhere to company policies

Job Requirement

  • Minimum of 3 years as Operations Manager in Pharma MNC and exhibit strong compliance
  • Bachelor’s Degree in Management and other related field
  • Excellent oral and written English communicate, capable of making effective presentations.
  • Flexible and able to work under pressure
  • Good time management and able to meet deadlines
  • Independent, self-motivate and team player
  • Competent literate (especially word & excel, PowerPoint, & Internet)
